Kaplan Compliance Solutions is committed to maintaining the privacy of your personal information. This Privacy Policy describes how we treat personal information received about you when you are using our compliance products and services, including our Compliance Management System and the Efficient Contracting Solution.
By visiting Kaplan Compliance Solutions' web sites, including the www.producerlicensing.com web site, the Compliance Management System Generation 2™ producer portal and any other web sites where you can access and use Kaplan Compliance Solutions services (the "Web Sites"), or otherwise submitting your personally identifiable information to us through any of our compliance products and services, you accept the terms described in this Privacy Policy. From time to time we may modify these rules. We will notify you of any significant change by posting a notice on our home page that the policy has been updated and by changing the date on this page noting when the policy was last updated. Your continued use of this web site or Kaplan Compliance Solutions' other compliance products and services after any modification indicates your agreement to the new terms.
Collection and Use of Personal Data
When you use the Web Sites or access or use our other products and services, you may be requested to provide us with personally identifying information such as your name, social security number, mailing address, email address and, in some cases, your credit card information, employment information and other information about your background or history ("personal data"). In addition, if you send us an email or communicate with us offline, we may store the personal data that you provide us at that time. If you are an employee or an independent producer, agent or representative (an "independent producer") under contract or seeking contract with a company that is a client of our compliance services or a client using our Compliance Management System (our "clients"), our client may provide us your personal data.
Your personal data may be used in the following ways:
- For the specific purpose for which your personal data is provided to us, for example to submit completed forms to insurance carriers, or to file appropriate documents for compliance transactions to state insurance regulatory agencies, the National Insurance Producer Registry (NIPRSM) gateway, the Financial Industry Regulatory Authority (FINRA®), and similar entities ("Compliance Entities");
- If you are an employee or independent producer of our client, to allow such client to view and administer your personal data and the status of its requests;
- To provide you with information via email or mail or telephone regarding your transactions with us and to otherwise contact you with information that may be of interest to you; or
- To enhance our existing products and services or develop new products and services.
Sharing with Third Parties
Employees and Independent Producers of Clients
If your personal data has been provided to us by or on behalf of our client, your personal data may be accessed and updated by the client and any person or company authorized by the client to access your data. Kaplan Compliance Solutions' collection, storage and use of your personal data will be solely on behalf of our client and at our client's direction. Our clients are not governed by this Privacy Policy. If you want to know more about our client's use of your personal data, contact its compliance department directly.
Other Third Parties
We may engage other companies to perform services on our behalf including, without limitation, web site hosting services, background investigation services and other services to facilitate aspects of our business. These other companies may be supplied with or have access to your personal data solely for the purpose of providing these services to us or on our behalf.
We also share personal data with third parties where it is necessary to fulfill your requests (or, in cases where your information has been provided to us by our client, our client's requests), such as the submission of your completed forms to insurance carriers and the filing of your compliance transactions with Compliance Entities. In some cases, we will provide your personal data to these Compliance Entities on more than one occasion for the limited purpose of testing and monitoring our compliance transactions. The Compliance Entities are not governed by this Privacy Policy. If you want to know more about any Compliance Entity's use of your personal data, contact the Compliance Entity directly.
We may also need to disclose personal data to third parties if we, in our sole discretion, believe it is required by law, to enforce our agreements with our clients or Compliance Entities or this Privacy Policy, or in connection with a sale or transfer of some or all of Kaplan Compliance Solutions' assets or other transaction having a similar effect.
Other than the exceptions set forth in this Privacy Policy, Kaplan Compliance Solutions will not share personal data with any other third parties without your permission.
Cookies and other Technical Measures
We may use cookies to allow you to navigate more quickly through our Web Sites, to allow you to use special features that have been designed into our products, and to collect information about your use of our Web Sites. A cookie is a string of information that is sent by a web site and stored on the user's hard drive or temporarily in the computer's memory. Cookies are small files and do not pose any significant disk-space concerns. Some cookies used by our products may remain on the user's computer after they log off from our services, but most of the cookies are set to expire within 30-365 days.

We are concerned with the security of all personal data. To keep that data secure, we restrict unauthorized access through protective policies, procedures, and technical measures.
Links to Other Web Sites
The Web Sites may contain links to other web sites, including other Kaplan company or web sites maintained by Kaplan Compliance Solutions. This Privacy Policy covers only the Web Sites and not these other sites. Be sure to look for the privacy policies that govern your use of these other web sites.
Review and Update
You may review and update the information that we have about you as follows: (1) If you are an employee or independent producer of a client, you must contact the client's compliance department for accessing and correcting data; and (2) If you have used our services directly, for example, through our Web Sites, you may access and correct your data by logging into the service and following directions for updating and/or correcting account information or by contacting us via email at support@kaplan.com. Any revisions you provide to your personal data will be applied in our own records but will not be updated in the records of the Compliance Entities, insurance carriers or other companies to which we have provided your data at your request. If you would like to review and correct the personal data that has been provided to these other entities, you will need to contact them separately.
